Ed.ai | Remote (France-based, with US overlap hours) | Part-time (3 days/week) About Ed.ai Ed.ai is an AI-powered grading and remediation platform serving 5,000+ teachers across France and expanding into the US market. We're a team of 15 in France and 3 in the US — growing fast and looking for someone to own our finance and admin operations across both entities. The Role We're looking for an experienced Finance & Operations Manager (Responsable Administratif et Financier) to structure and run our financial operations across our two entities: France (15 people) and the United States (3 people).

This is a part-time role (3 days/week), ideal for someone who thrives in startup environments and can build efficient processes from scratch. You'll be the single point of contact for everything finance, payroll, and admin — working hand-in-hand with our external accounting firms in both countries.

Key Responsibilities

Invoicing & Accounts

  • Manage invoicing (client billing) and accounts payable for both France and the US Track purchase orders and vendor contracts Oversee cash flow monitoring and reporting
  • Prepare monthly financial summaries for the CEO Payroll & HR Admin
  • Coordinate payroll processing with external providers in France (15 employees) and the US (3 employees) Manage employee onboarding admin: contracts, benefits enrollment, compliance documents Track PTO, expenses, and reimbursements Accounting Firm Liaison Serve as primary point of contact with the accounting firm in France and the CPA/bookkeeper in the US Prepare and transmit all documents for monthly/quarterly closings
  • Coordinate annual audit preparation and tax filings
  • Ensure compliance with French and US accounting standards Operations & Process Building Set up and maintain financial tools and processes (invoicing, expense management, reporting) Build dashboards for key financial KPIs
  • Support fundraising preparation (data rooms, financial projections, investor reporting) What Success Looks Like First 30 days Full understanding of both entities' financial setup and current processes Established relationships with both accounting firms Audit of current invoicing, payroll, and expense workflows First 60 days Streamlined invoicing and payment tracking across both entities Clean payroll process running smoothly in both countries Monthly reporting cadence established with CEO First 90 days All financial processes documented and running autonomously Financial dashboards live with key metrics Proactive identification of cost optimization opportunities

Requirements

Must-haves 5+ years of experience in finance/admin operations, ideally in startups or SMBs Experience managing payroll and accounting relationships in France (knowledge of French social charges, DSN, etc.) Exposure to US payroll and accounting basics (W-2, 1099, state tax withholdings) Fluent in French and professional-level English Highly organized, autonomous, and comfortable with ambiguity Proficiency with financial tools (Pennylane, QuickBooks, Stripe, or equivalent) Strong pluses Experience in a dual France/US entity setup Background in SaaS or EdTech Experience supporting seed/Series A fundraising processes Compensation &
